Employment Records

The Human Resources Information Systems (HRIS) unit maintains official employee records for staff. These records are the property of the university. To obtain a copy of a specific document, staff members must complete a Request for Review of Employee Record in person and present current picture identification to HRIS staff, located in Enterprise Hall 391 at the Ashburn campus. Copies of documents will be provided within two business days. Staff members are also entitled to one copy of the contents of their file per year.

Staff members are encouraged to use GWeb to maintain their employee records where allowable. Items such as campus address, emergency contact, and GW Alert information can be updated through this self-service process. Where documentation of the requested change or further validation is required, the Employee Data Questionnaire/BioDemo, the Employee Data Change Request, or other documentation may be required.

Obtaining Information Regarding a Current or Former Employee

To safeguard employee privacy, HRMD will only confirm basic details, such as dates of service and the last position held, unless legally required or provided with written authorization. Confidential information, including salary, performance, and rehire eligibility, will not be disclosed without proper consent.

No information will be shared over the phone, by fax, or by email without written authorization from the employee. With written consent, HRMD will release only the information specified in the authorization document. For inquiries about current or former employees, please get in touch with HRIS at 571-553-3679. Valid identification and a current release document (dated within one year) are required for additional information.
